Contract billing functionality  will be available in Agility v4.0.3 in July. Contract billing is an agreement between the customer and supplier where the shipment of the material can be independent of the invoicing schedule. This allows contracts that span a period of time to be invoiced based on the terms of the agreement while product is shipped as needed. Revenue will be recognized as work is completed and product is shipped, while AR will be recognized as the customer is invoiced. This allows for the proper matching of revenues and expenses while providing the flexibility to manage cash flow and accommodate billing arrangements. Contract billing is also referred to as progress billing, turn-key, or AIA billing.

Contract billing may be used for sales orders that are material only, labor only, or a combination of both material and labor. Contract billing is frequently used in the case of installed sales, where the customer is quoted a rolled up price for the entire job.

Along with contract billing functionality, numerous improvements were also made to the detail group functionality to streamline the quote release process as well as streamline assignment of groups in quotes and sales orders. There will be a class at PartnerConnect! 09 that covers the new contract billing and detail group functionality.

In Agility v4.0.1, the ability to import BOMs from a spreadsheet was added. This will allow the user to add, update, or delete BOM header, BOM detail, BOM operation, and Item BOM records from the spreadsheet. In Agility v4.0.2, there is a corresponding export functionality that allows the user to specify search criteria and then export those BOMs into a spreadsheet in the format to be used for the import. This allows users to export data to a spreadsheet, modify the data in the spreadsheet, and easily import it back into Agility. There is a recorded webinar that covers the use of the BOM import / export titled “Bill of Materials Import/Export Functions webinar” under the Millwork and Bill of Materials Processing category on the training website.

In Agility v4.0.2, you can control whether the component descriptions used to generate a work order phrase default from the component short description or a concatenation of the component size, item description and extended description, for a maximum of 562 characters per component and 10,000 characters per work order phrase. In addition, the component short description and extended description values are now editable within work order entry, as are the size and item description. This modification allows you to easily provide customers and shop personnel with detailed information about the components included on a parent item, thereby improving accuracy and strengthening customer service. This feature is especially useful for special orders and non-stock components, which frequently require lengthy descriptions.
