WorldView: Paperless In a Tight Economy
With the WorldView Electronic Document Management Solution, many DMSi customers have reduced costs by storing and retrieving their information electronically; eliminating paper and manual processing of documents. One example is U.S. Lumber Corporation, a DMSi Agility customer, who purchased the WorldView solution with the goal of going paperless.
U.S. Lumber Group is a multi-million dollar forest products wholesale building materials distributor located in the Southeast. Besides their home office in Atlanta, Georgia, they synchronize operations at 11 other branch sites across five states. The business distributes both domestic and imported forest products from Europe, Canada, South America and Mexico. Although they experienced vast improvements utilizing Agility, the manual paper processes they needed to run a tight ship had become overwhelming.
U.S. Lumber implemented the first stage of WorldView’s document management solution by storing COLD (electronic text) documents automatically from their core back-office application. The second stage involved scanning paper documents and converting them to electronically stored images. Since then, employees have the ability to use any PC with an Internet browser to retrieve the documents by typing in a password and user ID. Invoices and delivery tickets are automatically cross-referenced. Therefore, they have experienced tremendous time savings by no longer manually matching these documents.
Efficiency with less paper overload reduces the potential for overtime pay. Imaging saves processing time and allows each department to allocate skills elsewhere. U.S. Lumber appreciates the ease of implementation of the WorldView Internet-based document storage solution compared to an in-house alternative; as well as the reduced demands on IT staffing, hardware, training and upkeep.
“For us, the reward for sound document management boils down to less paper headaches and less capital investment for higher levels of customer service. It’s that simple,” said IT Manager Aaron Chancey of U.S. Lumber. To read the entire case study on U. S. Lumber go to http://www.worldviewltd.com/casestudy_1.html.
